What is a Company Registration Number?
The short answer
A company registration number is an identifier assigned to a legal entity by its registration authority. It helps distinguish the entity from businesses with similar names. Its meaning depends on the issuing jurisdiction and register: the same character sequence can occur in unrelated systems, and a tax identifier is not necessarily the registry identifier.
Company Registration Number: why it matters
Names change, abbreviations vary and trading names may differ from registered names. A properly scoped identifier provides a stronger basis for matching records across onboarding forms, source documents and internal systems. It also makes a match easier to audit because the selected entity can be traced back to a specific register.
How to assess it in practice
Collect the number exactly as reported, together with the jurisdiction and authority. Validate its expected format without treating format validation as proof of existence. Search the appropriate source and reconcile the returned legal name. Store the original and any normalised representation separately. Preserve leading zeros and significant characters unless the authority explicitly treats them as interchangeable.
Worked example
A CRM import contains 00123456, while a spreadsheet has converted it to 123456. The data team checks the source format before matching. Removing leading zeros without understanding the identifier could create a false match or prevent a genuine one. The corrected record retains the source value and documents the transformation.
Two registries issue the same numeric string to unrelated companies. A composite key prevents the records from being merged simply because their numbers match.
Distinctions that matter
A registration number identifies a legal entity within a registration system. A VAT number relates to a tax registration, while an internal CRM ID identifies a record in your own application. Keep those fields distinct and define how they are connected.
Evidence and review output
Review these
- Identifier namespace and issuer
- Original value and normalisation
- Returned identity and status scope
The review should produce
A reconciled identifier-to-entity link with the validation method and any conflict retained.
Across this family
Identifiers belong to namespaces. Retain the issuer, country context, original representation and entity scope so matching does not depend on an apparently unique string alone. Format checks are useful for input quality but do not establish current registration or entitlement to use an identifier.
A note from practice
Treat a registration number as source-scoped, not globally unique by itself. Preserve leading zeros and letters, and combine the identifier with jurisdiction and issuing authority in the matching key.
Limits and common mistakes
Do not store legal identifiers as generic numeric fields. Avoid merging companies solely because registration numbers look alike when jurisdiction is missing. A valid-looking string proves only that the input follows a pattern; it does not verify legal existence, active status or ownership.

Depending on the register, a record may provide a legal name, registration number, registered address, legal form, status and filed documents. - Entity matching & transformationEntity ResolutionEntity resolution determines whether different records refer to the same real-world entity. For company data, it connects names, identifiers, addresses and other evidence while distinguishing similar but unrelated businesses. A resolved match should be explainable, especially when it changes ownership, risk or a commercial workflow.
- Business identifiersVAT NumberA VAT number identifies a person or business registered for value-added tax in a particular tax system. It is used in tax-related processes and may help reconcile a counterparty’s records. It should be stored with its country or issuing context because formats and validation methods vary.
