A Washington business search starts with the UBI. Use the Secretary of State’s Corporations and Charities Filing System (CCFS) to establish legal identity and registration status, then check the Department of Revenue for licences, trade names and tax-account details. The two records answer different questions.

For a supplier check, the useful result is a record you can tie to a contract: the correct legal name, UBI, jurisdiction, status and source date. This guide sets out what Washington publishes, the fields that require opening a filing, the fees for official documents and the work that remains after a successful lookup.

How many businesses are registered in Washington?

Washington reported 758,956 active registered businesses in its 2025 snapshot. The comparable 2023 year-end publication reported 709,540. That is an increase of 49,416, or 6.96%, across two years—not a one-year growth rate.

These are registrations in the Secretary of State’s business-entity population. They are not a count of every sole proprietor, every operating location or every employer in Washington. A foreign registration can refer to a company formed in another US state; “foreign” does not necessarily mean overseas ownership.

Active, inactive and historical records are different populations

Use the source’s date and scope alongside any company count. The active totals above do not provide an all-status total or a statewide inactive count. An inactive record, a dissolved entity and an old name-change entry also should not be counted interchangeably.

The official sources reviewed do not establish an all-status total, a statewide inactive total or a complete 2021–2025 registry series. Those figures require dated registry snapshots; subtracting a state active count from a provider’s record count would mix populations and dates. The five-year chart below answers a different question: how federal business applications changed.

For data procurement, request year-end counts of distinct UBIs for 2020–2025, split by original status, domestic/foreign designation and entity type. The 2020 baseline is needed to calculate 2021 YoY. Ask how archived records, reservations, prior names and merged entities are handled, and whether historical totals were revised.

The five-year business-application trend

For an uninterrupted five-year view of business-creation activity, the Census Bureau publishes Washington business applications. These are qualifying applications for federal Employer Identification Numbers, rather than completed CCFS registrations or a count of active companies.

Addresses are composite fields. Preserve street lines, unit/suite, city, state or province, postal code and country separately where supplied. A registered-agent address identifies the service-of-process contact; it should not automatically become the company’s trading address.

Washington collects principal-office and registered-agent emails. Current guidance says filings in the specified categories are rejected without required emails from 20 January 2026, subject to stated exceptions. Historical completeness still varies. A filed address may belong to an accountant or agent, so it is not automatically an executive contact. Contact-information requirements.

DOR’s lookup covers current active accounts and five years of closed accounts. Charity, fundraiser and trust records have a separate registration number and may also carry FEIN and UBI identifiers. Their financial disclosures are programme-specific: they do not make private-company financial statements available through ordinary corporation search. Washington’s trademark search covers state registrations; federal trademark research is a separate USPTO task. DOR catalogue description · Programme search guidance.

The specialist inventory follows the public CFT record template and trademark record template, including conditional fields. CFT and trademark filing histories also expose filing number, date/time, type and document list; CFT adds effective date. Uploaded documents can contain further unstructured details. A blank field means no value is displayed, not proof that the fact is false.

What the record cannot establish

A public register is an identity and filing source. It should not be stretched into an ownership, financial or operational claim that the underlying record cannot support.

Why a governor is not a UBO

Washington uses “governor” as a broad governance label. It can cover a person or entity authorised to make decisions, including officers, directors, members or managers. It does not disclose an ownership percentage. A corporate governor might be a lead for further research, but drawing a parent–subsidiary connection requires evidence beyond a shared name or address.

The annual report’s real-estate and controlling-interest questions serve a specific reporting purpose. A yes/no answer about an ownership transfer does not identify the full ownership chain. Nor does the absence of a reported change prove that ownership has stayed unchanged for every purpose.

Keep the original status wording

CCFS statusMeaning in the state’s guidanceReview implication
ActiveCurrent active registrationContinue with the other checks required for the transaction
DelinquentRequired annual report was not filedReview the notice and subsequent filings
InactiveRecognised entity outside good standingRead the record for the specific cause
Administratively dissolvedDomestic entity failed to remain compliantCheck whether reinstatement was filed
TerminatedForeign registration failed to remain compliantCheck Washington registration and the home jurisdiction separately
Voluntarily dissolvedDomestic registration was voluntarily closedReview the effective filing and any later event
WithdrawnForeign registration was voluntarily closedDoes not by itself establish dissolution in the home jurisdiction

For risk rules, preserve both the original state label and any normalised category used in your systems. That gives a reviewer a way to trace an alert back to the actual filing rather than a vendor’s interpretation.

Exports, monitoring and the limits of free access

The official Washington data catalogue says the Corporations Data Extract is no longer available. Its replacement guidance points to advanced searches and CSV exports. Those exports are useful for a defined query; they should not be described as a guaranteed full-register feed. Official catalogue.

Advanced CCFS searches support entity type, status, expiration, formation/registration dates and registered-agent or governor criteria. The state warns that broad searches can cause slow responses, timeouts or errors. For repeatable data delivery, define the population, update frequency, schema and handling of historical records before choosing a source.

Access questionWhat the evidence supportsPractical limitation
CSV export sizeFiltered result exports are documented; an Export to CSV control appeared in the live public searchThe guidance reviewed does not state a numeric export cap or guarantee a complete statewide export. Check exported row count against the query and deduplicate UBIs.
API accessThe old full extract was withdrawn; no supported public CCFS company-data API or API tariff is documented in the reviewed guidanceDo not treat the data-catalogue API label or internal website endpoints as a supported registry feed.
Record updatesFiling history records accepted filings and official noticesA pending submission is not an accepted filing. The reviewed guidance gives no universal data-refresh or alert-delivery SLA.
Entity subscriptionsAccount users can subscribe to filing notifications by emailEnrollment requires an account. This is an event-notification workflow, not a documented full-register change feed.
Subscription datesModified date can reflect filings, office corrections or notices; due date reflects expirationA modified date alone does not explain the event. Open the filing or notice.
Older inactive entitiesOfficial help directs research on entities inactive for over ten years to the Digital ArchivesAn old profile may still appear: the inactive example above remains visible. Do not assume that current CCFS results exhaust historical records.

Use Washington Digital Archives when researching older records. Historical coverage and current registration counts need separate definitions. Official search, retention and subscription guidance.

Access and permitted use are separate questions. Washington’s Public Records Act restricts agencies’ provision of lists of individuals requested for commercial purposes, subject to statutory exceptions. DOR’s Business Tax Basics guide separately states that its business-lookup information is available for non-commercial purposes only. Review the applicable source terms before using an export commercially. RCW 42.56.070(8) · DOR business-lookup guidance.

Washington coverage in the published Global Database snapshot

Our September 2026 coverage report lists 1,724,377 Washington records, including 833,209 confirmed active. The difference is 891,168 retained records outside that active category, calculated from the published columns. These are Global Database’s coverage figures, not a new government census or an official count of the literal CCFS status “Inactive”. They should not be combined with the state’s 2025 snapshot to calculate growth. View the dated state coverage table.

Before procuring a feed, test a representative file. Ask for the matched UBI, original status, source date, field completeness and exceptions. For financials or ownership, ask whether each value is filed, derived or estimated, and whether it belongs to the legal entity or its group. A larger record count alone will not answer those questions.

09 / WASHINGTON COMPANY RECORDS

Turn the lookup into a repeatable review

Build the handoff around a small number of decisions. That makes the research repeatable without pretending every company has the same data depth.

01

Resolve

Match the legal name, Washington UBI and home jurisdiction to the contracting party. Keep ambiguous matches for review.

02

Verify

Read status, key dates and the relevant filed document. Add the licence, ownership or financial evidence your use case requires.

03

Record

Save source, date and decision alongside the entity identifier. Keep estimates separate from filed values.

04

Monitor

Assign material changes to an owner. A new status, agent or filing should trigger a defined review, not an unattended email.

For procurement and compliance, the objective is a defensible decision about the correct counterparty. For a data team, it is a stable entity record that can be refreshed. For credit risk, registration is only the starting point: it does not replace financial evidence.

QUESTIONS ABOUT WASHINGTON COMPANY DATA

Frequently asked questions

How do I search for a business in Washington State?

Use the Secretary of State’s CCFS search for registered legal entities. Enter the business name or UBI, select the matching record and review the profile and filing history. Use DOR for business licences and trade names.

Is a Washington Secretary of State business search free?

Yes. Public company lookups and available filing images are free. A new official certificate or a staff-produced certified copy is a separate paid service. Sourced filing copies and certification serve different purposes.

What is a Washington UBI number?

A UBI is a nine-digit state business identifier. It helps connect an entity’s records across Washington agencies. It is distinct from a federal EIN, and holding one alone does not establish current registration or licence status. DOR terminology.

How many active businesses are registered in Washington?

The state’s 2025 snapshot reports 758,956 active businesses, including 669,537 domestic and 89,419 foreign registrations. It is a dated registration count. Official snapshot.

Does an active CCFS status mean the business is financially sound?

No. Registration status does not establish turnover, liquidity, creditworthiness, insurance or whether an invoice is legitimate. Review financial evidence and any licences relevant to the transaction.

Can I find the owners of a Washington LLC?

Filings can identify governors and other named parties. They do not establish a complete ownership chain or ownership percentages. For that, obtain the relevant company documents and supporting evidence. Secretary of State ownership guidance.

Is a governor the same as a beneficial owner?

No. “Governor” is a governance role used across business types. A listed person may be an officer, director, member or manager. The entry does not establish their economic interest. Official role definitions.

How much is a Washington Certificate of Existence?

The instant Express PDF costs $20 and is available for Active entities. The alternative staff-processed online order adds a $20 processing fee. Long-form and other certificate routes have their own processing requirements. Certificate options.

Can I download Washington company data in bulk?

The former Corporations Data Extract has been withdrawn. CCFS still supports filtered search-result CSV exports. For repeatable delivery across states, agree a dataset scope and refresh schedule with a bulk-data provider. Official data catalogue.

How can I monitor changes to Washington companies?

CCFS offers entity subscriptions through user accounts. For a portfolio spanning multiple states, Global Database monitoring provides a consolidated workflow. Confirm which changes and delivery channels are included for your entities.
